Temperatures, moisture levels, ingredient ratios, supplier codes, ambient conditions, line speeds. All in Excel. They wanted to know: can we predict final product quality before it leaves the production line?

    That question — and the journey from Excel to predictive analytics — is one we see again and again from Irish SMEs. The data exists. It's been collected for years, often for compliance or quality management purposes. But nobody has ever asked what else it could tell you.

    A food producer records 120+ variables for every production batch — temperatures at multiple stages, raw material specifications, environmental conditions, line settings. Final quality is graded after production, sometimes days later.

    What Analytics Can Do

    Build a model that predicts final quality grade during production, based on the variables being recorded in real time. Instead of discovering a quality issue after the batch is complete, you catch it while there's still time to adjust.

    Where most Irish SMEs sit today: Level 1-2. And that's not a criticism — it's the starting point for almost every project we've worked on.     Here's how this played out for one of our clients — a food producer with three years of production data sitting in Excel.

    Data Discovery

    Week 1–2

    We spent the first two weeks cleaning and restructuring their data. Some spreadsheets had different column names for the same measurements. Some variables were recorded differently across years. About 15% of records had gaps. This is normal — and it's why data discovery typically takes 60–80% of a project's time.

    Exploratory Analysis

    Week 2–3

    Once the data was clean, we started looking for patterns. Some variables the client expected to matter — didn't. Others they'd never considered turned out to be strongly correlated with quality outcomes. Ambient temperature and one specific raw material specification explained more variation than the production parameters the team had been adjusting for years.

    Week 3–5

    We built a predictive model that could estimate final quality grade based on the production variables available during manufacturing. The model was tested on data it had never seen (held back specifically for this purpose) and achieved an accuracy level the client considered commercially useful.

    Not every project delivers a production-ready predictive model. This one did, but some don't — and that's still a valid outcome. The analysis itself reveals what drives your business, even if the prediction accuracy isn't high enough to automate decisions.     The most common blocker we see isn't bad data — it's no question. If you don't know what you're trying to predict or understand, the best data in the world won't help. Start with the business problem, not the technology.

    Frequently Asked Questions

    Can predictive analytics really work with Excel data?

    Yes. Most of our projects in Ireland start with data that lives in Excel. Spreadsheets are a perfectly valid data source. The key is whether the data is consistent enough over time and has enough records to analyse. We've built working predictive models from data that arrived as a folder of spreadsheets on a shared drive.

    How much data do I need for predictive analytics?

    As a general rule, 300-500+ records (batches, orders, projects) with at least 12 months of history gives us enough to work with. Fewer records can sometimes work depending on the question, but below 100-150 records it's difficult to build reliable models. More important than volume is consistency. Are the same variables recorded the same way over time?

    What if our data is messy?

    Most data is messy. In our experience, 60-80% of any analytics project is spent cleaning and restructuring data, not building models. Missing values, inconsistent formatting, duplicate entries. These are normal, not disqualifying. We deal with them as part of the process. What matters is whether enough usable data exists underneath the mess.

    How long before we see results?

    A typical project runs 3-6 weeks from data handover to final deliverables. You'll see first findings (exploratory analysis) by week 2-3. The timeline depends on data complexity. Well-structured data means faster results.

    What's the difference between analytics and AI?

    In practical terms, analytics means finding patterns and relationships in your data, understanding what happened and why. Predictive analytics (a subset of AI) means using those patterns to forecast what will happen next. Most businesses benefit from analytics first, prediction second. We don't push AI where simpler analysis would do the job.

    Do we need to stop using Excel?

    No. Your Excel spreadsheets become the input for the analytics. We extract, clean, and analyse the data, but you can keep recording in whatever system works for your team. If the project leads to ongoing monitoring or dashboards, we'll recommend the right tool for that. However, it doesn't have to replace your existing workflow.
